Celsus — Automation systems

Service 04 / 04

Automation and integrations

Stop retyping the same thing into three different apps.

The unglamorous joins between the tools you already pay for. Booking to calendar to invoice to reminder, without a human copying details across.

Where a job travels

01—The problem

Almost nobody needs new software. What they need is for the six things they already run to stop being connected by someone retyping a phone number at nine at night.

We are deliberately conservative here. Automating a broken process gives you a faster broken process, so we look at where the time actually goes before building anything — and quite often the honest answer is that one job is worth automating and the rest are not.

Who this is for

Businesses where the systems work fine on their own and the person in the middle is the integration.

02—The process

06 stages

  1. 01

    We map a normal week

Every place a customer detail gets typed, copied, or carried in someone’s head. It is usually more places than anyone expects, and seeing it written down is half the value of this step.

  2. 02

We pick the one worth doing

Ranked by time lost and by how badly it goes wrong when it is missed. Then we do that one. Automating six things at once is how you end up unable to work out which one broke.

  3. 03

We build it against your real tools

Your calendar, your accounting software, your messaging, your spreadsheet. No new platform to learn and no migration, unless something genuinely has to go.

  4. 04

It runs alongside you for a week

You keep doing the task manually while the automation shadows you, and we compare. Nothing gets switched over on trust.

  5. 05

We hand it over in writing

What it does, what it touches, how to turn it off, and who to call. An automation nobody understands is a liability the day it misfires.

  6. 06

    We check back

Silent failure is the real risk with anything automatic. It gets monitored, and if it stops working you hear it from us rather than from a customer.

What changes

Before

  1. TriggerLead comes in
  2. ManualSomeone manually copies the details
  3. ManualSomeone checks availability
  4. ManualSomeone sends a confirmation
  5. ManualSomeone follows up later

After

  1. TriggerLead comes in
  2. AutomaticSystem captures details
  3. AutomaticAvailability checked automatically
  4. AutomaticBooking confirmed
  5. AutomaticFollow-up scheduled

03—What you actually get

What exists at the end

  1. 01A written map of where your admin time actually goes
  2. 02One automation, built, tested and running
  3. 03Plain-English documentation, including how to stop it
  4. 04Monitoring, so a silent failure does not stay silent
  5. 05An honest list of what we recommend not automating

How long

Scoped in a week; most single automations are built within two.

What it costs

Quoted per automation, once it is mapped.

The map is what tells us whether it is an afternoon or a fortnight. The mapping session is charged separately and is yours to keep either way.

Questions

What if I do not know what to automate?

That is the normal starting point, and it is what the first step is for. You get the map whether or not you build anything with us.

Will this break when one of my apps updates?

It can, which is exactly why it is monitored. You hear about a failure from us, not from the customer who did not get their reminder.

Ready when you are

Find the one thing that is wasting your time.

We will map how your business actually runs and work out whether automation is worth doing.
